Privacy Policy
Last updated: 4 October 2026
This policy explains what personal information SiteCaddy collects, why, who we share it with, and the choices you have. It covers the SiteCaddy mobile app, the web app at app.sitecaddy.app, and this website (sitecaddy.app).
Who we are
SiteCaddy is provided by SiteCaddy Ltd, a company registered in England and Wales (company number 17480353), registered office: 19 Donnington Close, Northampton, England, NN3 6FU. You can contact us at hello@sitecaddy.app.
SiteCaddy is a business tool. If you use it through your employer or the contractor you work for, that company decides what is recorded about its people and sites, and SiteCaddy Ltd processes that information on its behalf. For information about our website visitors and the accounts we manage directly, SiteCaddy Ltd is the data controller.
What we collect
| Information | Examples | Why |
|---|---|---|
| Account details | Name, email address, role, company, your profile photo (optional). Passwords are stored in hashed form, never in plain text. | To create and secure your account and show who did what. |
| Work you record | Book-ins, approvals and comments, photos, signatures, certificates, variations, quality and scaffold inspection reports, material requests, uploaded documents, hours and wage calculations. | To run the app: record, approve and report on site work. |
| Location at clock-in and clock-out | The precise location of your device at the moment you clock in or out. | To confirm attendance on site. We do not track your location at other times. |
| Site information | Site names and addresses, plot lists, site plans and drawings your company uploads, price lists. | To set up sites and show the interactive site plan. |
| Notifications | A device token so we can send you push notifications, and the notifications we have sent. | To alert you to approvals, inspection issues and other updates. |
| Technical information | IP address, device and app version, and error logs created by our servers. | To keep the service secure and fix faults. |
| Enquiries | Your email address if you sign up for updates or contact us. | To reply to you and send the updates you asked for. |
We do not sell your personal information, and we do not use it for advertising. The app does not contain ads or advertising trackers.
Camera, photos and location permissions
The app asks for permission to use your camera and photo library (to attach photos to book-ins, inspections and your profile), your location (only for clock-in and clock-out) and to send notifications. You can change these in your phone settings at any time. Some features will not work without them.
Who we share information with
Within your company, information you record is visible to the people your company has given access to (for example supervisors, managers and office staff). Reports such as scaffold inspections and weekly progress reports are emailed to the people your company chooses, such as the site agent.
We use a small number of service providers to run SiteCaddy. They only process information on our instructions:
- IONOS — web hosting, our database and company mailboxes.
- Supabase — storage for photos, documents, PDFs and drawings.
- n8n and Resend — sending emails such as invitations, inspection reports and weekly reports.
- Expo — delivering push notifications to your device.
- Anthropic — AI processing of site plans and price-list spreadsheets your company uploads, to detect plots and read prices. This is used to process those files for you, not to build a profile of any person.
Some of these providers may process information outside the UK. Where they do, we rely on appropriate safeguards such as approved contract terms. We may also disclose information where the law requires it, or to protect our rights or safety.
How long we keep it
We keep information for as long as your account or your company's account is active, and afterwards only as long as needed for legitimate business and legal record-keeping (for example wage, approval and safety records your company may be required to keep). When an account is closed and records are no longer needed, we delete or anonymise them.
Your rights
Under UK data protection law you can ask us to: give you a copy of your information; correct it; delete it; restrict or object to how we use it; and give it to you in a portable format. To use these rights, email hello@sitecaddy.app. Because we often process your information on behalf of your employer, we may need to refer your request to them. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Deleting your account and data
In the app: go to Settings > Delete Account and confirm. Your account is deleted straight away, and your personal information is deleted or anonymised as described below. If you cannot get into the app, use the email option instead.
By email: to request deletion of your account and the personal information we hold about you, email hello@sitecaddy.app from the email address on your account, with the subject "Delete my account". We will confirm your request and delete or anonymise your personal information within 30 days. Some records linked to your company (for example approved work and wage records) may have to be kept by your company or by us for legal and accounting reasons; where that applies, we will tell you what we are keeping and why. Company administrators can also deactivate users inside the app.
Security
Information is sent over encrypted connections. Access is controlled by sign-in and by role, so people only see what their company allows. No system is perfectly secure, so please use a strong, unique password and tell us straight away if you think your account has been misused.
Children
SiteCaddy is a business app for adults. It is not intended for anyone under 18 and we do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If we make a significant change we will tell you in the app or by email.
